1. What We Collect (Per KGP Constitution Article 10.10)
- Required Information: Official names, identification number/passport number, region, county, ethnicity, disability status, gender.
- Contact Details: Phone number and email address (postal address is NOT required).
- Geographic Data: County, constituency, and ward for branch assignment.
- Demographic Data: Used to implement democratic practices, affirmative action, and ensure representation for marginalized groups and the two-thirds gender rule.
2. Why We Use Your Data
- Membership Verification & Record-Keeping: To maintain and continuously update the membership list, issue membership cards, and keep signed membership forms.
- Branch Assignment: To assign you to the correct local branch or sub-branch based on where you are enrolled to vote (Article 10.8).
- Democratic Representation: To implement policies on diversity, affirmative action, and ensure representation for minorities, marginalized groups, and gender balance (Article 27).
- IPPMS Reporting: To forward member details through the Integrated Political Parties Management System (IPPMS) to the Registrar of Political Parties (Article 10.4).
- Public Access Compliance: To comply with Section 34(d) of the Political Parties Act, 2011, which requires membership registers to be accessible to the public with proper safeguards (Article 20).
Our legal bases include consent, contractual necessity, compliance with legal obligations (Political Parties Act, Data Protection Act, Access to Information Act), legitimate interests, and tasks carried out in the public interest.
2a. Public Access to Membership Register
Non-Members: May request to inspect the membership list by writing to the Secretary General with 120-day notice and paying a prescribed fee. Must sign an affidavit promising not to use information for any "adversarial effect to the Party" (Article 20).
Members: Fully paid-up members of at least 2 years can request access with 60-day notice through their sub-branch (Article 20).
3. Your Rights
- Right to be informed, access, and receive copies of your data.
- Right to rectification, erasure, or restriction of processing (subject to lawful limitations).
- Right to object to direct marketing and certain processing activities.
- Right to data portability and to withdraw consent at any time.
- Right to lodge a complaint with the ODPC if you believe we have breached the Data Protection Act.
4. Data Sharing & Security
We do not sell personal data. Information is only shared with authorised KGP officials, vetted service providers, or regulators (such as ORPP or ODPC) where required by law. We implement encryption, access controls, secure storage, and incident response plans to protect your information.
